Welcome to the final approach for Halcy-Con 2024! Our entire team is buzzing with excitement, and we can’t wait to bring the magic to life. Now, here’s everything you need to know before we kick things off!

Getting There

Wyndham Orlando Resort & Conference Center Celebration Area

Located off W Irlo Bronson Memorial Highway, your journey to Halcy-Con couldn’t be easier. When you reach W Irlo Bronson Memorial Highway, remember the key phrase: “Turn right at the mermaid!” This iconic souvenir shop landmark will show you where to turn right onto Maingate Ln, and from there its just a short 10-second drive further toward the entrance of the Wyndham venue. We have a whole page dedicated on how to get to the Wyndham.

Hotel check-in starts at 4:00 PM and checkout is at 11 AM, if you have a reservation at the hotel.

While we’ve reserved the entire event space for Halcy-Con, please note that the hotel’s public areas are still subject to their usual rules and regulations. As much as we’d love to take over the whole resort, keep in mind that common decency still applies outside of our event areas! As always, please abide by our Code of Conduct.

Credential Pickup

Please bring your ID with you to grab your credentials at the following times and locations. Note: We cannot release badges to anyone without a valid ID that matches the name on the order. Plus, each individual must pick up their own badge.

Pickup-Times:

  • Thursday: 4:00 PM – 10:00 PM, at the entrance to the event space.
  • Friday : 8:00 AM – 5:00 PM, at the Pre-Function lobby.
  • Saturday: Please text 571-482-8280 to coordinate.

A Few Notes:

  •  The pick-up location will change from Thursday to Friday, so make sure to note this when planning your arrival. Please see the map above.
  • You’ll need a Photo ID to pick up your badge. Unfortunately you won’t be able to pick up other attendees badges, unless you are the parent of a minor.

Please Help Us: No general-access to any event space on Thursday. We will be setting up all day and want to make sure all the surprises are in place. Vendors and Teal Team, please coordinate with your contacts. Halcyon Homecoming attendees, please see below.

Pre-Event Mixer

If you’ve reserved a room in the official Halcy-Con Room Blocks, you’re invited to attend the exclusive Pre-Event Mixer aka the “Halcyon Homecoming”! Please note: Only wristbanded-attendees will be able to enter the Event space. Reminder: You will need both your badge and your wristband to attend this exclusive mixer.

Event Time and Location: Thursday, 7:00 PM – 10:00 PM in Salon AB.

Wristband Pickup: You’ll be able to pick up your wristband at the same time and location as your badge on Thursday. Wristbands will only be given out to the named person on the room reservation. Photo ID required.

Wristband Allotment:

  • 2 wristbands for a King Bed room
  • 4 wristbands for a 2x Queen Bed room

A Few Programming Notes

Marketplace Access

We anticipate the Ma’Li’s Marketplace to be quite popular. Entry to the vendor hall will be on a first-come, first-served basis. Once capacity is reached, we will switch to a one-in, one-out system to ensure a smooth flow. Check out the Attendee App for hours of operation.

Panel Seating

Seats will be reserved for accessibility needs, and standing room will be available once all seats are filled. Please follow the guidance of the Volunteer Teal Team to keep everything running smoothly.

Event App

If you haven’t already, grab the Attendee App. It contains the complete Event schedule, speaker bios and more!

Tips: If you are trying to reset your password, try using the Eventzilla web page — you might have better luck. Others have had success with deleting the app and re-installing it too. If you have any issues, please email help@eventzilla.net and include your Purchase/Order Number.

Event Policies

Your badge must be worn at all times in the event spaces. We know many of you will be cosplaying, and trust us—these badges are gorgeous and will look great as part of your ensemble!

Vendor Hall

Selling items outside of approved vendor booths is strictly prohibited. Pre-orders are fine for vendors, but we ask that any personal sales be conducted outside the event space. We want our vendors to feel supported, so please respect their hard work and commitment.

Food & Drink

You’re welcome to bring food into the event space (think DoorDash or takeout), but selling food is strictly prohibited. We will have a cash concession available during lunch hours, with plenty of options, including vegetarian choices.

Cosplay & Props

Yes, you can bring your lightsabers and blasters—but please keep in mind that public areas of the hotel follow standard policies. Save the spinning and dueling for the designated Halcy-Con sessions please!

Fun Extras

Porg Hunt: Yes, you can hide porgs throughout the Event space—but please don’t hide them in places where they can’t be found (or where someone might need a ladder to retrieve them)!

Swag & Stickers: Share your awesome swag, but please do not place stickers anywhere in the hotel or event space. Let’s keep the venue as beautiful as we found it!
