Ticket Policy
Please remember to bring your photo ID when picking up your badge. If a duplicate name is presented and has already checked in, entry will be denied. Starship Aurora, LLC and the event staff are not responsible for any issues related to ticket manipulation or fraud. By receiving or transferring tickets, you accept all associated risks, and it is ultimately your responsibility to ensure the validity of your ticket.
Badges are transferable but not refundable. Do not share your badge purchase QR code. Only the first person that presents a badge purchase QR code at the event check-in will be provided with a physical event badge using that QR code. Please protect your event badge as we are unable to offer replacements in the event of loss or damage or any incident.

Merchandise: Refund and Return Policy
Our refund and returns policy lasts 30 days. If 30 days have passed since your purchase, we can’t offer you a full refund or exchange.
To be eligible for a return, your item must be unused and in the same condition that you received it. It must also be in the original packaging.
Several types of goods are exempt from being returned. Tickets to events, services, and gift cards. For tickets, please see our Ticket Policy, above.
To complete your return, we require a receipt or proof of purchase.
Refunds
Once your return is received and inspected, we will send you an email to notify you that we have received your returned item. We will also notify you of the approval or rejection of your refund. If you are approved, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within a certain amount of days.
Late or missing refunds
If you haven’t received a refund yet, first check your bank account again. Then contact your credit card company, it may take some time before your refund is officially posted. Next contact your bank. There is often some processing time before a refund is posted. If you’ve done all of this and you still have not received your refund yet, please contact us at {email address}.
Sale items
Only regular priced items may be refunded. Sale items cannot be refunded.
Exchanges
We only replace items if they are defective or damaged. If you need to exchange it for the same item, send us an email for further steps
Gifts
If the item was marked as a gift when purchased and shipped directly to you, you’ll receive a gift credit for the value of your return. Once the returned item is received, a gift certificate will be mailed to you. If the item wasn’t marked as a gift when purchased, or the gift giver had the order shipped to themselves to give to you later, we will send a refund to the gift giver and they will find out about your return.
Shipping Returns
To return your product, please contact us for further instructions. You will be responsible for paying for your own shipping costs for returning your item. Shipping costs are non-refundable. If you receive a refund, the cost of return shipping will be deducted from your refund. Depending on where you live, the time it may take for your exchanged product to reach you may vary.
If you are returning more expensive items, you may consider using a trackable shipping service or purchasing shipping insurance. We don’t guarantee that we will receive your returned item.

Vendors Terms and Conditions
These Vendors Terms and Conditions (“Terms”) govern the operation of a maker or artist space (“Table”) at Halcy-Con 2025 (“Halcy-Con”) organized by Starship Aurora, LLC (“Organizer”). By operating a Table at Halcy-Con, the maker or artist (“Vendor”) agrees to comply with these Terms. As an authorized artist or maker at Halcy-Con, you agree to abide by these terms and conditions.
Table Reservation
- The Vendor acknowledges that Table reservations are subject to availability and are granted at the discretion of Organizer.
- Organizer reserves the right to reject any Table reservation, at its discretion.
Table Operation
- The Vendor shall operate the Table during the designated hours of Halcy-Con as specified by Organizer.
- The Vendor shall ensure that the Table is staffed adequately throughout Halcy-Con hours.
- The Vendor shall not sublet or share the Table with any third party without prior written consent from Organizer.
- In order to sell at Halcy-Con, Vendors must have a paid Vendor ticket, approved by Organizer.
Table Setup and Dismantling
- The Vendor shall adhere to the setup and dismantling schedule provided by Organizer.
- The Vendor shall ensure that the Table setup complies with safety regulations and does not obstruct walkways or emergency exits.
- The Vendor shall be responsible for the removal of all materials, products, and equipment from the Table at the conclusion of Halcy-Con.
Conduct
- The Vendor shall conduct business at the Table in a professional manner and adhere to all applicable laws, regulations, and industry standards.
- The Vendor shall not engage in any conduct that may disrupt Halcy-Con or cause harm to other attendees, exhibitors, or staff.
The Use of Generative AI
- The Vendor agrees not to sell or display art created by generative AI.
Product Guidelines
- Items sold at Halcy-Con must be the original creative works of the Vendor or credited to the maker/artist with documentation of proxy sale permission.
- No sale of licensed merchandise or resale of merchandise is permitted.
- Halcy-Con is a family event, all items sold must not exceed the level of “PG”
- Language: Moderate language may be present, but severe or abusive language is prohibited
- Violence: The depiction of violence should be mild or moderate, and may include action sequences, but it should not be overly graphic or intense
- Themes: Products may include themes or elements that are more mature or complex, but they should be presented in a way that is appropriate for a broad audience. The glorification of substance abuse is prohibited. The representation of characters doing things outside the context of their character is prohibited (ex: a licensed character being depicted in fan art while smoking, unclothed or participating in graphic violence)
Adherence to Brand Guidelines
- All Vendors agree to abide by the Brand Guidelines.
Compliance
- The Vendor shall obtain all necessary permits, licenses, and approvals required to operate the Table at Halcy-Con.
- The Vendor shall comply with all policies, rules, and guidelines established by Organizer for Halcy-Con.
Liability and Insurance
- The Vendor assumes all risks associated with operating the Table at Halcy-Con and agrees to indemnify and hold harmless Organizer from any claims, damages, losses, or liabilities arising from the Vendor’s participation in Halcy-Con.
- The Vendor shall maintain adequate insurance coverage for the duration of Halcy-Con and provide proof of insurance upon request by Organizer.
Payment and Refunds
- All payments are non-refundable unless otherwise agreed upon in writing by Organizer.
Termination
- Organizer reserves the right to terminate the Vendor’s participation in Halcy-Con and revoke Table privileges for violation of these Terms or any other reason deemed appropriate by Organizer. The decision on termination rests with the Vendor Coordinator and is final.
Amendments
- These Terms may be amended or modified by Organizer at any time, and such amendments shall be communicated to the Vendor in writing.
Governing Law
- These Terms shall be governed by and construed in accordance with the laws of the state of Florida without regard to its conflict of law provisions.
- By operating a Table at Halcy-Con, the Vendor acknowledges that they have read, understood, and agreed to abide by these terms and any additional rules or instructions provided by Organizer.
- They also acknowledge and accept that failure to comply with these terms may result in expulsion from Halcy-Con without refund and may affect eligibility for future participation.
- The decision of the Vendor Coordinator is final in all aspects of sales.
- Should a Table or items from a Table be prohibited from sale for any reason, no refunds will be given.
- Organizer is not responsible for any legal actions that may be taken due to copyright or trademark enforcement.

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Who we share your data with
If you request a password reset, your IP address will be included in the reset email.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. Code of Conduct
As with any event, it is important to respect those around you at the event. No verbal or physical abuse or threatening behavior will be tolerated. All event attendees must read, understand, and abide by this Code of Conduct in any interactions, in-person or virtual, that encompass event activities. If you’re attending the convention, please remember that everyone has to follow a few simple rules.
- Harassment of any type is unacceptable. Any incidents should be reported directly to the Halcy-Con staff. We will fairly and impartially review the situation and take any actions that we feel are necessary—up to, and including, revocation of badges and notifying the authorities.
- Please exhibit polite behavior in public areas at all times. Excessive disturbance or abuse of other guests is grounds for immediate expulsion from the convention without a refund.
- Please be respectful of people in costume. If you would like to photograph someone, please ask first. Remember, cosplay is not consent.
- You must wear your membership badge at all times to be admitted to any Halcy-Con area or function. Lost badges will not be replaced.
- Photographs, audio recordings, and videos taken during Halcy-Con may be used by Halcy-Con for the purposes of event documentation, media coverage, and promotion of the convention. By entering the event area, you agree to having your photo taken.
- If you would like to film or record a panel or event, please secure the permission of everyone involved before recording or filming.
- Please turn off your cell phone during all events. If you must make or receive a call, please leave the event so you do not disturb others.
- While we encourage children and family participation, we ask that parents take an active role in monitoring their children’s activities.
- Please do not abuse the hotel facilities.
- Weapons Policy: This includes real, replica, or toy arms of any sort, including but not limited to swords, light sabers, pistols, rifles, blasters, squirt guns, etc. No concealed weapons are allowed on the hotel premises. All Florida state laws concerning weapon possession and use apply. All weapons must be non-working; any bladed weapons must be cased or sheathed at all times. Any weapon used in an offensive or threatening manner will be confiscated and is grounds for expulsion from the convention without a refund.
- No camping in the halls or lobby. If you are found sleeping in any public area, you will be asked to go to your hotel room. If you do not have a hotel room, you will be asked to leave the premises.
- No smoking, eating, or drinking is allowed in convention areas and functions.
- Halcy-Con does not permit unauthorized vendors to sell products during the event.
- Halcy-Con is not responsible for items lost or stolen during the convention. The Lost & Found is located at the hotel front desk. Items remaining at the end of the event will be thrown away. We cannot replace any items.
- Possession of alcoholic beverages by anyone under 21 years of age is grounds for immediate expulsion from Halcy-Con without a refund.
- Alcohol is NOT to leave any hotel rooms. Excessive noise, as deemed by the sole discretion of the venue staff, may result in your being trespassed from the resort. Any alcohol that is served must stay in the room that it is served in. The named person on the reservation is responsible that ALL people in their room that consume alcohol and ensures that they abide by all these rules along with all State and Federal laws.
- Room parties that are held in private rooms: You need to respect your hosts; they have the final say on who is allowed in their room.
- Please express any concerns you have to a Halcy-Con staff member in a timely manner.
Harassment Policy
“Together as one” means everyone. Halcy-Con welcomes people of all genders and gender expressions, sexualities, races, creeds, abilities, ages, body types, national origins, and identities. Our attendees represent a variety of viewpoints and perspectives, and during the conference, and we expect that our community will keep all conversations, as well as all other behaviors and communications, respectful.
All forms of harassment are detrimental to the well-being of our attendees and the convention in general. It is imperative that everyone understands that No means No.
If you find yourself in a situation where you feel you are being harassed, please remain calm and ask the person to stop. If they do not stop, remove yourself from the situation as quickly as possible. Find friends or a staff member and ask for assistance. Refrain from the use of aggression or physical force unless your life and well-being are in danger.
If you need intervention, bring your concerns to a member of the staff as soon as possible. If you have witnesses, ask them to accompany you. The convention staff will investigate the situation. If the incident takes place after hours, proceed to Hotel Registration where they will contact the convention staff. If you feel threatened with harm, call the hotel’s front desk and/or 911 to ask for police protection.
Once the incident has been reported, the convention staff will investigate the incident (see Rule 1).
